Overview
The Employees view serves as the central directory for all employee data used to power your human risk metrics and simulations. Maintaining an accurate employee list ensures that the right people receive the right simulations at the right time.
✚ 1. Adding Employee Data
There are three ways to populate your employee directory. While manual and file-based options are available, automated integration is recommended for large organizations.
SCIM / LDAP Sync (Standard): The preferred method for most organizations. This automatically synchronizes employee data from your Identity Provider (e.g., Microsoft Entra ID).
See our Technical Setup & Integration guides for detailed configuration steps.
CSV / Excel Upload: Second best option for adding employees (without a direct directory integration). You can drag and drop a file and use our provided template to ensure data consistency.
Detailed instructions and templates can be found in our CSV Import Guide.
Manual Entry: Ideal for adding individual employees or testing. Click the Add button and fill in the required fields, such as name, email, department, and language.
📋 2. Managing the Employee List
The Employees dashboard offers several tools for managing large directories at scale:
Visible Columns: Click the Eye icon in the top right to toggle which data fields (e.g., Job Title, Country, Risk Level) are visible in your current view.
Bulk Update: Select multiple employees using the checkboxes on the left to perform a Bulk update. This allows you to change attributes like Department, Manager, or Status for many records at once.
Individual Editing: Click the Edit (pencil) icon on the far right of any row to update a specific employee's profile.
Deletion: To permanently remove employee records, select the entries and click the red Delete button. You will be asked to confirm this action as it cannot be undone.
Add: Allows you to add an additional employee or to import CSV/Excel files.
✏️ 3. View / Editing Existing Records
If you need to view or update a specific employee's details (e.g. to change departments or phone numbers):
Locate the employee in the list.
Click the Edit (pencil) icon on the far right of their row.
Modify the necessary fields in the profile modal and click Submit
🧑🧒🧒 3. Bulk Update Feature
When you need to make changes to a large group of employees simultaneously (e.g., updating a "Country" or "Manager" field for a whole team), use the Bulk update tool:
Select Employees: Check the boxes on the left for the employees you want to modify.
Open Bulk Modal: Click the Bulk update (X) button that appears in the top right.
Apply Changes: Select the fields you wish to change (e.g., Status, Department, or Locale).
Confirm: Click Update to apply the new values to all selected records at once.
👁 4. Customizing the Dashboard View
Since your directory may contain many data points, you can customize which columns are visible to make management easier:
Click the Eye icon in the top right corner.
Use the Visible columns toggles to show or hide specific data fields like Management, Main Phone Number, or Risk Level.
The table will update instantly to reflect your chosen view.
🔍 5. Understanding Key Employee Fields
Below you find further explanation for fields that have specific logics applied or are automatically updated by revel8:
Field | Logic & Functionality |
Status | Defines if an employee is Active (receives simulations and tracked by playlists) or Inactive (excluded from simulations but kept for reporting). SCIM integrations automatically set users to Inactive if they are off-boarded or marked for "soft delete" in your directory (e.g. Entra ID) |
Management | Creates a relational link between records. This field must be populated with the Email address of another existing employee to establish the connection. |
Language | Directly determines the language of the phishing simulations and training content the employee receives. |
Salutation | Automatically assumed by revel8 based on various record characteristics. This ensures employees are addressed correctly (e.g., "Mr.", "Ms.") during simulations. |
Time Zone | Automatically provided by the system whenever the Country field is maintained. This ensures simulation delivery aligns with local working hours. |
⚠️ Important Notes
Unique Identifier: Every employee record must have a unique email address.
Deletion: To permanently remove records, select them and click the red Delete button. Note that this action cannot be undone once confirmed in the pop-up modal.
