Groups let you organize employees so you can target campaigns and break down reporting by team, location, or role.
Open Employees in the left sidebar (under Organization) to manage them: the Groups tab lists all your groups, and the Smart grouping tab builds groups automatically from employee attributes.
1. Groups
The Groups tab lists every group in your organization. Each row shows:
Name: the group's display name.
External provider: the identity provider a synced group comes from (SCIM or LDAP), if any.
External id: the group's ID in that identity provider.
Managed by: how the group's members are added, shown as one badge per source: a person badge for manual membership, a sparkle badge for Smart grouping, and a refresh badge for external sync. A group can show more than one badge if it draws members from multiple sources.
# of Employees: how many employees are currently in the group.
1.1 Add a group
There are three ways to create groups:
Automated provisioning: groups synced via SCIM or LDAP are managed by your identity provider. Membership updates on the next sync.
Manual creation: click Add in the top right to create a static group, then assign employees to it from the Employees tab.
Smart Grouping: dynamic groups revel8 fills automatically from a rule (see Smart Grouping below).
1.2 Edit a manual group
Click the edit (pencil) icon on the right of the group row.
Update the Name.
Click Save.
1.3 Delete manual groups
Select groups with the checkboxes on the left.
Click Delete.
Confirm by clicking Delete again.
⚠️ Warning
You can't delete a group that has members managed by Smart Grouping or external sync. For a Smart Group, delete its rule on the Smart grouping tab instead, which removes every group that rule created. For a synced group, remove it at the identity provider.
1.4 Group types at a glance
Group type | How members are assigned | Identifier | Source |
Manual group | You assign employees by hand | Internal platform ID | A local Admin |
Provisioned group | Synced from your directory | External provider ID | SCIM or LDAP |
Smart Group | A rule fills it automatically from employee attributes | Sparkle badge in Managed by | Smart Grouping |
2. Smart Grouping
Smart Grouping creates dynamic groups from a rule applied to employee attributes, for example one group per country or all high-risk employees. The engine re-evaluates the rule and updates membership for you.
Open the Smart grouping tab to see your rules. Each row shows the rule's Order, Name, Code, the Groups it produced, its Scope, and its Status (running, succeeded with when it last ran, failed, or never run). Run Pipeline re-runs the rules on demand.
2.1 Create a Smart Group
On the Smart grouping tab, click Add.
Choose how to create the rule:
For a manual rule, the builder has two steps.
On Details, enter a Name, an optional Description, and a Scope, then click Next.
On Code & assistant, write the rule in the code editor, or describe the group you want in the Assistant panel and let it draft the code. Click Apply to editor to insert a suggestion.
Click Save to store the rule, or Save & Execute to store it and run it right away.
💡 Tip
Describe the group in plain language in the Assistant ("one group per country based on the country attribute"), and it writes the code for you. Review it, then click Apply to editor.
2.2 How the rule works
A Smart Group rule is a JavaScript function, getGroupName(employee), that the platform runs for every employee:
It receives an
employeeobject with attributes such asfirstName, department, jobTitle, country, company, companyCode, status, userType, andtags. The manager is a nested employee, so you can reademployee.manager.firstName. Recent activity counts are available too.It returns the group name to put the employee in, or
nullto leave them out of any group for that rule.
One rule can create many groups: if the function returns different strings, revel8 creates a separate group for each unique value. A rule that returns employee.country builds a "Germany", "France", and "Spain" group as distinct entries.
2.3 Scope
Scope controls where a Smart Group can be used:
Reporting: the groups appear in your analytics and Human Risk Monitor dashboards.
Scheduling: the groups are available when you target campaigns.
2.4 When Smart Groups update
Smart Groups re-run automatically once a day, and whenever you change the rule. To refresh them immediately, click Run Pipeline on the Smart grouping tab.
